Submissions Coordinator

GFG Projects is a newly established division of the FKG Group, with a focus on the delivery of exceptional select construction and development projects for key clients. Our capability is driven by a highly experienced team and a passion for delivering quality projects from concept through to completion.

We are seeking an experienced and passionate Submissions Coordinator to join our GFG Projects team based in either Toowoomba or Brisbane.  The successful candidate will coordinate and manage end-to-end tender and EOI submissions from content collation to final delivery ensuring clarity, quality, and alignment with company branding and stakeholder expectations.

Key Responsibilities

  • Collaborating with internal teams to gather and edit bid content
  • Formatting documents in line with corporate branding and bid standards
  • Preparing and compiling final tender packages within deadlines
  • Assisting in planning and facilitating bid workshops
  • Maintaining content libraries, metadata, and document versions (e.g., SharePoint, InDesign)

Successful candidates will possess/be able to demonstrate:

  • Proven submissions, bid-writing, or proposal coordination experience (ideally in construction/infrastructure);
  • Exceptional written and verbal communication skills, with strong attention to detail;
  • Ability to manage multiple complex tasks and deliverables under tight deadlines;
  • Proficiency in Microsoft Office (Word, PowerPoint), SharePoint; experience with InDesign, and Canva desirable;
  • Qualifications in Business, Communications, Marketing, or related fields advantageous;
  • Excellent organisational skills with the ability to work under pressure, manage multiple tasks, prioritise and meet deadlines;
  • Ability to interpret a brief and execute requirements to deliver a high-quality proposal;
  • Well-developed understanding of business communications and correspondence;
  • Prior experience in a similar role within the construction industry is advantageous but not essential;
  • Ability to work as part of a dynamic team and also autonomously;
  • Proactive with a demonstrated ability to use own initiative; and
  • Well-developed level of communication, organisational, interpersonal and time management skills
